Document preparation

When the inspector says it has to come from a credentialed specialist.

Stetmark prepares the food safety documents regulators require: variance requests, HACCP plans, and written procedures. Each one is written to your actual operation, cited to the code section behind the requirement, and signed by a credentialed food safety professional.

What we prepare

Variance requests

For activities the food code allows only with a variance: smoking or curing as a preservation method, acidifying food such as sushi rice, reduced oxygen packaging outside the exemptions, live shellfish display tanks, custom processing, and sprouting.

HACCP plans

For specialized processes including reduced oxygen packaging and sous vide, and seafood HACCP for processors and importers.

Written procedures (SOPs)

The procedures inspectors ask to see in writing: cooling, date marking, employee health, cleanup of vomiting and diarrheal events, and time as a public health control.

Corrections after an inspection

An inspector cited a missing or inadequate procedure. We write the corrected version, cited to the finding, ready before re-inspection.

How it works

  1. Send us the requestForward the inspector's written request or order, or describe what you were told.
  2. We confirm the requirementWe check what the code and your jurisdiction actually require, then quote a fixed fee.
  3. We document your real processWe review your menu, equipment, and staffing so the document describes what your team actually does.
  4. Credentialed sign-offThe finished document is signed by a credentialed professional, ready to submit. If the inspector has questions about it, we answer them.

Approval of a variance or plan is the regulatory authority's decision. We prepare a complete, cited submission that gives it the best chance on first review.

A recent example

A seafood importer was told by the city inspector that a variance procedure had to be prepared and signed off by a credentialed specialist. We prepared the procedure to the inspector's specification, cited each control to the code, and signed it for submission.

Coverage and fees

We currently prepare documents for operations in Minnesota, Iowa, and Wisconsin. Fees are fixed and quoted after we review your process, with priority turnaround when an inspection deadline is set.
